Administrative Specialist - Extension
Job Summary
This part-time position provides general clerical and administrative support to the U of M Extension Service staff & clients, Sherburne County Administration, and serves as the back-up to the Administrative Executive Assistant in duties related to the County Board meetings.

Essential Duties and Responsibilities
The following duties are normal for this position. These duties are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Serves as initial point of contact for the office; receives, greets and responds to requests of the general public, visitors, program participants, volunteers or clients; receives calls and refers to appropriate staff member; helps maintain schedule for staff; and takes and distributes messages to appropriate parties.
Performs a wide variety of clerical office administrative duties, including create, modify, edit and format of electronic documents, brochures, program fliers, posters and correspondence; word processing/typing letters and documents, prepares and provides requested reports regarding programs and participation; directing calls, waiting on customers, providing resource & referral; manages and updates content on the County Extension webpage; create, manage and maintain participant database, electronic and paper files; operate and maintain general office equipment.
Assists in planning and arranging for meetings/events and related logistics such as ordering supplies, making travel arrangements, reserving rooms, arranging for food, equipment, and building access; assists with evaluation survey creation and data entry.
Develop material and provide support to volunteers, Master Gardeners, and 4-H members and maintains 4-H databases, 4-H Online with enrollment and data entry.
Assists County 4-H Extension educator with county fair preparation, coordination of county fair judges and ordering all supplies (ribbons, stickers, promotional items, etc.)
Review, verify, and code expense invoices for approval.
Assist with Administration departmental phone coverage and assist Human Resources with scanning and indexing of confidential documents.
Develop and maintain respectful and cooperative working relationships.
Serves as the back-up to the Administrative Executive Assistant in duties related to the County Board meetings.
Regular and reliable attendance according to the department’s work schedule.
Minimum Qualifications
An individual must meet the minimum qualifications as stated below to qualify for this position.
High School Diploma or GED; plus one year of relevant work experience; OR
An equivalent combination of education and experience.
Computer training or experience to include electronic mail systems and demonstrated proficiency gained from experience working with word processing, spreadsheets and database software with Microsoft Office applications and other specialized software.
Supplemental Information
Physical Requirements and Work Environment
Must be able to exert light physical effort in sedentary to light work. May involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 50 pounds).
Work is normally performed in an office environment.
Work at the fairgrounds during the County Fair which may involve exposure to mild weather conditions.
Work Schedule: 20 hours per week
Interviews will take place the week of February 3rd.
