Case Aides act as the first point of contact for unit specific walk-in clients and phone calls inquiring about human services programs. Using a person-centered inclusive approach this position may provide assistance in accessing, researching, program support, monitoring client services, assisting clients, navigating services, verification of program eligibility, and assist clients with the completion of applications and forms. As well as, directing clients to the appropriate worker, as needed, and providing general support to the assigned unit.

This position is located at the Government Center in Elk River, MN, however will also require work in the field. Our regular business hours are Monday-Friday 8:00am-4:30pm, though the department provides staff with flexibility in effort to strive for a desired work/life balance. Essential Duties and Responsibilities

Essential Duties and Responsibilities
The following duties are normal for this position. These duties are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Research and contact unlicensed providers operating illegally.
- Completion of background checks for Family Childcare licensing, Adult Foster Care, Child Foster Care, Adoption, stepparent adoption, and legal non-licensed providers.
- Establish and maintain databases of Family Childcare providers and applicants.
- Receive Licensing Inquiry Calls - Parents looking for available providers and information pertaining to their license.
- Receive licensing complaint calls and complete DHS approved Complaint Form.
- Assist with agency recruitment for Licensed Provider.
- Conduct Annual Family Childcare Licensing Visits, documenting problems, corrections, and rule compliance.
- Entry of Provider Placements for foster care.
- Works with Licensing Social Workers to assist with documentation, specific to Rule Compliance.
- Complete Claim for Payment forms and Service Arrangements as needed for Parent Support Outreach Program.
- Coordinate agency Bridging referrals, complete Bridging home visits and scheduling Bridging appointments with clients and agency.
- Provide supervised Visitation in child protection cases. (if requested)
- Transportation for Clients.
- Intake Processing:
- Disposition Maltreatment and “I & R” reports.
- CEP data entry into SSIS.
- Assist with Truancy Referrals per Children’s Mental Health protocol.
- Complete intakes, document information and coordinate TIP, SARB, and Runaway case assignment.
- Process Bridging referrals.
- Review paper and online files for accuracy and completeness, contacts social workers to gather necessary data.
- Review financial information with parents.
- Provide back-up case aide intake duties, as needed.
- Provide transportation for clients and ability to work offsite as needed.
Education: High School Diploma/GED or higher
Experience: Minimum of 4 years of experience in a related field or equivalent education plus work experience.
Must have a valid driver's license.

- Zingtree (interactive decision tree software)
- SSIS (Social Services Information System)
- MMIS (Medicaid Management Information System)
- MAXIS (MAXIS is the name of the computer system used by state and county workers to determine eligibility for public assistance and health care)
- On-base (information platform for managing content, processes, and cases)
- Docusign (e-signature application)
- Microsoft Office, particularly:
- SharePoint
- Word
- Excel
- PowerPoint
Knowledge, Skills and Abilities Required

- Ability to use software including software programs such as: Word, Excel, Outlook, and SharePoint, Alertcast, IV-E, Zingtree, Finesse, Compass, OnBase and other specialized software packages.

Hours of Work
This position has a usual work schedule of 8:00 a.m. to 4:30 p.m., Monday through Friday; may include occasional evening and weekend hours.
Physical Requirements and Work Environment
Must be able to exert light physical effort in sedentary to light work. May involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 25 pounds).
Must be able to operate office equipment, scanner, calculator, computer, and telephone system; requires manual and physical dexterity. Many hours of computer and phone related work. Hand eye coordination and visual acuity are necessary to work between paper documents and the computer monitor.
40% - 100% Inside Work*
Work is normally performed in an office environment. Headaches, eyestrain, and other related occupational hazards reflect the most common potential for injury in the office. This position is subject to moderate office noise levels. There is some mental stress involved resulting in inconvenience and frustration.
May have required attendance at evening/off hour’s meetings or events.
Direct contact with the public (supplying or seeking information) on specialized matters. Contact may include clients, co-workers, lead workers, management, hospitals and clinics, and other agencies. Work that requires direct service with client may include some disagreeable human interactions with clients who are angry, uncooperative, hostile or have mental illnesses.
